Discover the new BeeMyFlex products that have been developed for you in 2023

➡️ Version 12.2023
1️⃣ Preferences: Choice of language in the app

It is henceforth possible to choose and change your language in the application.

👉 Click at the top right on your initials or your avatar

👉 Select your profile

👉 Access the section My settings and change the language:

ℹ️ Currently the only languages available are:

🇫🇷 French

🇬🇧 English

🇳🇱 Dutch

2️⃣ Input: Delete a record from your calendar

It is now possible to delete a record from your calendar.

For example: if you had planned to be present at the office and ultimately you may have a trip but you are not sure, you can delete your choice in the calendar while waiting to have better visibility on your schedule

👉 In your Calendar or in the Forecasts, click on the date for which you want to delete the recording and select the trash can icon:

✅ Your registration for this date has been deleted!

3️⃣ Indicators: Average attendance rate per weekday and per month

📊 A new statistic is available in the dashboard attendance rate !

👉 By clicking on Indicators and selecting the dashboard Attendance rate, you will find a new item in the menu: Aggregated view

👉 By clicking on this new item you will be able to view:

📊 The average attendance rate per weekday over a period

📊 The average attendance rate per month over a period

4️⃣ Flex Office: Indicate who is authorized to access a workspace

Until now, it was possible to share a workspace or make it private.

🔓When the workspace was private, only employees assigned to this space by default could access it.

From now on, you can indicate for each space who is authorized to access it!

✨ We took the opportunity to redesign the administration screen of Sites And Workspaces

👉 To access it, simply click on your initials or your avatar at the top right

👉 Select your organization name

👉 On the Administration screen, click on the section Sites and workspaces

👉 To indicate who is authorized to access a workspace, simply choose the team(s) / collaborator(s):

ℹ️ For a free space (authorized for everyone) simply select the value “everyone”

5️⃣ Calendar: Limit the forecast entry period

It is now possible to block the forecast entry of schedules beyond a period.


👉 To access this setting, simply click on your initials or avatar at the top right

👉 Select your organization name

👉 On the Administration screen, click on the section Configuration

👉 In the field Number of future modifiable days, enter the maximum number of forecast days that users can complete.

2️⃣ Changing your calendar taken into account in Outlook and Google

💡 Until now, a change in presence in the BeeMyFlex calendar was not automatically reported in the Outlook or Google Calendar calendar. It created another event in Outlook or Google Calendar and the user had to delete the previous created event.

✔️ Now you don't have to do anything, BeeMyFlex takes care of updating your calendar changes in Outlook and Google Calendar!

1️⃣ Create and manage rules in central administration

ℹ️ This feature is only accessible by a Administrator.

💡Good new for administrators, you will no longer need to give yourself delegations to act on behalf of your managers and manage their rules.

✔️ You now have a screen to display all the rules of your organization, and you have the control to modify them!

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

👉 In this new page, you select the section Rules.

2️⃣ Your management preferences for Outlook and Google calendar

ℹ️ This feature is only accessible if you have connected your Outlook or Google calendar

💡Until now, your calendar status matches with BeeMyFlex were not customizable

✔️ You can now personalize them according to your calendar statuses!

On Outlook there are 5 statuses:

  • Available
  • Busy
  • Work elsewhere
  • Provisional
  • Out of office

On Google, there are 2 statuses:

  • Available
  • Busy

We've also added an option to "don't create an event" in your calendar.

For example: you do not want to have the status "office" in your calendar.

To access this customization:

👉 Click on your profile picture or initials at the top right of the screen and click My integrations.

👉 Then click on Configure.

👉 Personalize your statuses

✅ Your configuration is effective!

⚠️ The configuration change is not retroactive. Only new events created will be affected.

ℹ️ You can change your configuration at any time.

3️⃣ BeeMyFlex disponible sur Microsoft Teams

💡Good new, the version of BeeMyFlex is now accessible.

To use BeeMyFlex from your Microsoft Teams:

👉 On your Microsoft Teams, click To research and enter the keyword BeeMyFlex.

👉 Then click on Add.

BeeMyFlex now appears in the list of your tabs on the left.

ℹ️ The features accessible on Microsoft Teams are as follows:

  • Live
  • Calendar
  • Forecasts

ℹ️ A Microsoft suite Administrator can add the BeeMyFlex application to all users in the domain (refer to the Microsoft help center)

1️⃣ Find your Outlook and Google appointments in BeeMyFlex

💡 You need to check your appointments in your Outlook or Google calendar before entering your planning BeeMyFlex attendance?

✔️ From now on, you can directly view your Outlook and Google appointments in BeeMyFlex!

All you have to do is go to your Calendar :

👉 Click on a day to enter

👉 Click on “You have X appointments planned in your calendar”.

✅ Your appointments are displayed!

👉 I notice for example here that a team meeting is scheduled for the morning on Teams, so I can telework.

👉 On the other hand, in the afternoon, I reserved a meeting room to work with the working group on the call for tenders, so I know that I have to report going to the office!

2️⃣ Invite colleagues to meet you at the office

💡Do you want to inform colleagues so that they can come and meet you at the office?

✔️You can now invite them to join you

To invite them:

👉 Click on the Forecasts.

👉 Click on the date you want to invite them to come

👉 Select the period concerned (day, morning, or afternoon), provide a comment and click on the button Send

📌 You can add other recipients.

✅ Your colleagues have received your invitation!

ℹ️ Your colleagues can accept your invitation. In this case, you can directly check their presence by displaying the Forecasts

1️⃣ Save your favorite workplaces

💡 Do you need to save your favorite workplaces to easily select them?

✔️ Now you can save them from your calendar.

To get there :

👉 Click on your Calendar.

👉 Select a day and indicate the status Bureau.

👉 Click on the workplace already entered.

✅ You can save your favorite workplaces by clicking on the star on the right.

i️ The list of workplaces is displayed with better visibility.

📌 By default, the system displays your favorite workplaces first in the list in order of addition from most to least recent.

📌 When you select the Office status, the system automatically populates the most recent favorite workplace in which there is space left.

📌 Favorite workplaces have priority over the home workplace.

2️⃣ Choose your workplace based on the presence of your team and groups

💡 Do you need to reserve a place near the collaborators of your team or your groups?

✔️ You can now know who the collaborators of your team or groups are present in each workplace.

To get there :

👉 Click on your Calendar.

👉 Select a day and indicate the status Bureau.

👉 Click for example on the “i” to the right of the workplace entered, or access the list of workplaces.

✅ You can now know who has reserved their place in this area among the collaborators of your team and your groups.

1️⃣ Copy a week to other weeks to come in the calendar

💡 Until now you could easily copy a typical day from your calendar for other target days.

✔️ Now you can copy a typical week from your calendar for the target weeks to come!

All you have to do is go to your Calendar :

👉 Click on the button Copier.

👉 Select Week.

ℹ️ The button says you can copy a week.

👉 Select any day of the week you want to copy.

👉 Select any day of the target week to paste the typical week.

👉 You can repeat the operation as many times as you want.

✅ You no longer have any excuse not to complete your calendar in advance 😄

i️ Additional information:

🔹 The workplace is systematically copied.

🔹 If this workplace is full on a target day, the system informs you and ignores the copy for that day.

🔹 An exemption can never be copied, it will be necessary to enter the target day individually.

🔹 If a copied day triggers a rule on the target day, it will be necessary to enter the target day individually.

🔹 You cannot copy a completely empty week.

🔹 Only the completed days of a week are copied. Days not specified are ignored...

2️⃣ Display employees present on a site or in an area

ℹ️ This feature is only accessible by a Administrator or one Manager.

💡Need to know who is in each office today?

✔️You can now view the collaborators who are present on a site or in a workspace on a given day.

To get there :

👉 Click on the Indicators.

👉 Select dashboard Occupancy rate.

👉 Then select a site or workspace.

✅ Now you know who is in the office.

ℹ️ From this screen you can directly select another site or another workspace using the filters.

i️ You can also from this screen choose a date other than today's date.

3️⃣ Create and manage teams in central administration

ℹ️ This feature is only accessible by a Administrator.

5️⃣ New rule: Quota of teleworking days per year

ℹ️ This feature is only accessible by a Administrator or one Manager.

💡 Your teleworking management policy is evolving and you need to set limits per year?

👉 This is the case, for example, for cross-border workers who must comply with tax regulations.

👉 This is also the case when you wish to limit teleworking in a residence other than that of the employee's home.

✔️ You can now configure a Quota of teleworking days per year.

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click My rules.

👉 Now click on the button Create and select the rule type Quota of teleworking days per year.

👉 Then enter the number of days in the field Value.

👉 Select the relevant recipients.

👉 Choose control with or without override.

👉 Specify the condition for which this rule applies (optional).

✔️ You can now configure a Quota of days in the office per year.

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click My rules.

👉 Now click on the button Create and select the rule type Quota of days in the office per year.

👉 Then enter the number of days in the field Value.

👉 Select the relevant recipients.

👉 Choose control with or without override.

👉 Specify the condition for which this rule applies (optional).

7️⃣ New rule: Half-day teleworking not authorized

ℹ️ This feature is only accessible by a Administrator or one Manager.

👉 Now click on the button Create and select the rule type Half-day teleworking not authorized.

👉 Select the relevant recipients.
