🔷 Administration de BeeMyFlex

👉 Access organization settings

To access the organization settings, make sure you have the role Administrator.

👉 Click on your profile picture or initials at the top right of the screen and select the name of your organization.

✅ You access the administration module of your organization.

ℹ️ To find out if you have the role Administrator, check in your profile your role in the section Roles and Membership.

👉 Configuration settings

ℹ️ This feature is only accessible by a Administrator

 

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

 

👉 In this new page, you select the section Configuration. 


On this screen, you can set configuration settings for your organization.

 

1️⃣ Working days:  

You select the working days of your organization

 

2️⃣ Number of previous days modifiable: 

You can define a number of previous days for which it is still possible to modify the calendars.


Depending on the value entered:

📌 Les collaborateurs peuvent alors modifier leurs plannings dans le passé. 

📌 Les managers peuvent alors modifier les plannings des collaborateurs de leurs équipes dans le passé 


3️⃣ Notice period (in days): 

Vous définissez un délai en nombre de jours pour lesquels les managers ne peuvent plus modifier le planning de leurs collaborateurs. 

 

4️⃣ Recovery deadline (in days): 

Les collaborateurs qui n’auront pas complété leur planning des prochains jours (nombre de jours que vous définissez) recevront un rappel de notification automatique. 

 

5️⃣ Message to contact your support: 

Vous pouvez personnaliser un message qui s’affiche dans le profil des utilisateurs (par exemple : "Dans le cas où une de vos informations n’est pas correcte, cliquez ici et signalez le à votre administrateur"). Un lien permet aux utilisateurs d'accéder au formulaire du support client. 

👉 Create your sites and workspaces

ℹ️ This feature is only accessible by a Administrator

 

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization. 

 

👉 In this new page, you select the section Sites and workspaces. 

 

1️⃣ To create a Site, Click on the button New site en haut à gauche de l’écran. 

 

👉 You can now give a name à votre site, ainsi qu’ajouter une illustration. 

 

👉 If you have set up a Service parking reservation and your site is affected, you can activate the parameter Parking disponible

✅ Your Site est maintenant créé. 

️ One Site est un regroupement d’espaces de travail. 

 

👉 To add your workspaces, simply click on the button New workspace.

 

2️⃣ To create a Workspace, Click on the button New workspace à droite dans le détail de votre Site.  

 

👉 You can now give a name to your workspace, and add an illustration if you wish. ℹ️ This illustration will be displayed in the Live and the Forecasts des collaborateurs qui sont au bureau. 

 

👉 The Ability correspond au nombre de places dans cet espace. 

👉 You can add a Description

 

👉 Indicate the list of teams or collaborators who can have access to this space. Otherwise choose “Everyone” to give free access to this space.

 

👉 If this space is accessible to people with reduced mobility, you can activate the setting Accessible for people with reduced mobility. Le sigle sera alors visible lorsqu’un collaborateur choisira son espace de travail. 

✅ Your Workspace est maintenant créé.  

👉 You can attach it to certain collaborators by default. Simply access the profile of the user concerned, then click in the section Role and membership

👉 Create your users

Hello and welcome. We will see together in a few seconds how to add new users in BeeMyFlex.

ℹ️ This feature is only accessible by a Administrator

 

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

 

👉 In this new page, you select the section Users et vous accéderez à la liste de tous les utilisateurs de votre organisation. 

 

👉 Finally, to add more, just click on the button Create puis vous renseignez leurs adresses email dans le champ correspondant. 

 

✅ Your colleagues will then receive an invitation to join BeeMyFlex.

⚠️ For organizations using the Single Sign On (SSO) authentication system, make sure that the email address of each employee corresponds to their email address in the internal directory

ℹ️ For organizations using an HRIS integration with BeeMyFlex, users are automatically created, archived and updated directly by the system. However, you can add externals manually by following the method above.

👉 Create your teams

ℹ️ This feature is only accessible by a Administrator.

💡Good news for administrators, you will no longer need to give yourself delegations to act on behalf of your managers and manage their team.

✔️ You now have a screen to display all the teams in your organization, and you have control over how to modify them!

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

👉 In this new page, you select the section Teams.

✅ Vous accédez maintenant à la liste de toutes les équipes de votre organisation. 

ℹ️ Vous pouvez créer, archiver, modifier toutes les équipes. 

👉 Create your rules

ℹ️ This feature is only accessible by a Administrator.

💡Good news for administrators, you will no longer need to give yourself delegations to act on behalf of your managers and manage their rules.

✔️ You now have a screen to display all the rules of your organization, and you have the control to modify them!

To get there :

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

👉 In this new page, you select the section Rules.

👉 Add services in BeeMyFlex

👉 Your application to reserve parking spaces

👉 Your app to book coworking spaces

👉 Your application to plan your business trips

👉 Your application to book your accommodation

🚧 Advanced Settings - Custom Fields

ℹ️ This feature is only accessible by a administrateur. 

 

In this section, you can create custom fields for each presence status

 

Pour y accéder: 

 👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

👉 On the new screen, select the section advanced settings en bas de la page. 

 

ℹ️ Custom field settings are located in the section Custom fields

👉 Advanced Settings – Contacts

ℹ️ This feature is only accessible by a administrateur. 

 

Dans cette rubrique, vous pouvez renseigner les adresses mail des contacts responsables de votre organisation. 

 

Pour y accéder: 

👉 Click on your profile picture or initials at the top right of the screen and click on the name of your organization.

👉 On the new screen, click on the advanced settings at the end of the page.

 

👉 Select the section Contacts

1️⃣ Enable the feature.

There are several types of contacts:

2️⃣ Contact(s) administratif(s): vos responsables que l’équipe BeeMyFlex peut solliciter  

3️⃣ Billing contact(s): vos responsables qui recevront les factures de votre abonnement BeeMyFlex. 

4️⃣ Contact(s) d’assistance: vos responsables qui recevront les demandes d'assistance de vos utilisateurs, et qui les traiteront. 

5️⃣ Contact(s) d’import: vos responsables techniques qui recevront les rapport d’exécution des connecteurs BeeMyFlex que vous aurez mis en place.

👉 Advanced settings - Consent from your users

Vous pouvez renseigner un texte pour informer vos utilisateurs du traitement de leurs données personnelles conformément à la règlementation.

👉 Advanced settings - Teleworking allowance

Vous pouvez activer et paramétrer une indemnité forfaitaire du télétravail. 

 

i️ In the Indicators a dashboard displays month by month the compensation to be paid for each employee

👉 On the new screen, click on the advanced settings at the end of the page.

 

👉 Select the section Amount of teleworking compensation.

1️⃣ Enable the feature.

2️⃣ Select a currency.

3️⃣ Enter a value.

✅ Save your settings.

👉 Advanced settings - Daily export of exemptions

You can activate an automatic daily export in order to receive by email a csv file containing all the exemptions declared in the last 24 hours.

ℹ️ This feature is only accessible by a administrator

Pour y accéder:

👉 On the new screen, click on the advanced settings at the end of the page.

 

👉 Select the section Daily export of exemptions

👉 Enter the email addresses of the recipients who will receive the daily export.

✅ Save your settings.
